The Greater Victoria School District is looking to hire an Administrative Assistant for the Facilities DepartmentThis is a temporary full-time position until January 2023.

The Greater Victoria School District provides public educational services to over 20,000 students in the Greater Victoria Area, encompassing six municipalities.  To provide this service, the District has a current operating budget of $213 million and employs approximately 3,500 staff; which includes, teachers, principals and vice-principals, support staff, psychologists, speech and language pathologists and exempt staff.

Reporting to the Manager, Building Maintenance, the Administrative Assistant will be responsible for administrative support including coordinating office procedures, records management and monitoring accounts. Some of the key duties and responsibilities will include; processing invoices, mileage, boot allowance and employee/manager expenses, taking minutes for managers meetings, reviewing employee payroll and absences on a weekly basis and completing corrections (as needed), posting maintenance trades positions and completing new hire packages, updating budget reports, covering switchboard as needed, maintaining multiple spreadsheets containing various formulas, and assisting management team as needed. A general knowledge of multiple database systems including work order systems would be considered an asset. The position operates in a high volume environment with frequent interruptions and changing priorities.

This temporary position falls within the CUPE 947 Collective Agreement at a pay rate of $26.18 per hour plus 11% in lieu of benefits.

QUALIFICATIONS
Education and Experience:

  • Grade 12 or equivalent and one (1) year post-secondary Office Administration Certificate
  • Two (2) years advanced administrative experience.
  • Extensive knowledge of Microsoft Office, including Word, Excel and Outlook.
  • Broad knowledge of bookkeeping principles.
  • Broad knowledge of budget preparation and control procedures.
  • Basic knowledge of capital budgets and the construction industry.
  • Basic knowledge of the school system and a willingness to gain an understanding of District policies and procedures.
